So, let me tell you about me, my business and the job.


My name is Hilde and I run a business called Get Active Personal Training in Cairns. 


We are a small, private studio offering one-on-one Personal Training, small Group Training, Online programs and Women's Only and Mixed Bootcamps.  Our personal expectations are of high standards, as is our dedication to our clients' own personal health and fitness goals and dreams.  


I'm all for flexible working arrangements, I currently need someone to fulfill this admin role approximately 2 half days per week and am more than happy to discuss specific timings.  You will be hired on a casual basis for a 3 month trial period, at the end of which we can negotiate future conditions and remuneration.   


Tasks I Need You To Perform

  • Respond to and action all emails and phone calls in a timely fashion and follow up as required.
  • Respond to and action enquiries through Facebook and other relevant social media.
  • Responsible for social media updates and general maintenance.
  • Conduct social media marketing campaigns.
  • Welcoming clients, studio famils and provision of general facility information.
  • Ensuring client Welcome procedures are implemented - begin WOW campaign.  We'll teach you how.
  • Maintain client schedules, cancellations and amendments in Zen Planner and other required programs.
  • Keep Trainers up to date on any relevant issues.
  • Implementation of assigned marketing tasks such as mailing, gifts, phone calls and emails.
  • Compile weekly E-Newsletter with content advised by management.
  • Maintain Client of the Month / Client Birthdays - appropriate actions implemented.
  • Keeping everyone informed that needs to be informed.
  • Ensure web content and timetables are up to date.  Basic Wordpress web knowledge will be handy.
  • Review marketing advertisements such as flyers, print ads and social media ads prior to launch.
  • Inputting data into industry specific Zen Planner and Infusionsoft.  Don't worry, we'll teach you the basics of these programs.
  • Coordinate office activity ie keeping stocks up to date, filing manually and electronically and supervise/assist with cleaning.
  • And finally, perform tasks relative to your position as required by your supervisor or manager.

Required Skills


These are the skills you must already have to qualify for this position:

  • High School Graduate
  • Microsoft Suite: You must be very comfortable using Microsoft Office products, in particular Word, Excel, Outlook and Power Point.
  • Good phone personality/etiquette: You will be talking with my customers, who are VERY important to me, and prospective customers, who are also important. You must be comfortable conversing on the phone, in person, and through email. You must know how to conduct yourself professionally, take clear messages and deliver clear instructions to the prospect or client. I’ll teach you everything you need to say and do if needed, but I can’t teach you manners and professionalism.
  • General office experience:  Some people just can't get organised.  I need you to be organised AND efficient.
  • Thoughtfulness and adaptability: I need you to be able to think for yourself and be organised. I am very serious about this one. I do not want a robot, I want someone who learns and grows with me
